Business process or workflow capturing is a prerequisite for any business process digitalization. Companies usually have high-level flowcharts of their processes - a good starting point of their digitalization journey. However, in order to really digitalize a process, business process modeling is what's necessary. It is a low-level visual representation of every single detail of the business process.

It is a difficult task, but Inceptum can make it both easy and successful! We organize and steer workshops with subject-matter experts and process owners required to do the capturing job. Hierarchical decomposition of the workflow at a high-level is necessary, but there is a point when the process capturing team experts can use a collaborative tool provided by our technology partner IBM to specify low-level parts of the process. With this tool, the number of joint workshops is reduced significantly, and team members can contribute when their daily operations allow them to.

The next workshop is a point of admiration – a first ever detailed view of the process. More often than not, our customers realize they perform the same business function in several ways (i.e. using different processes), concurrently achieving the same result.

The process is now documented, all the best practices within it have been captured, and it is now ready to become a common way of execution across the company. Documentation is an essential prerequisite for both process performance measurement and true process management through continuous re-evaluation and improvement. This is where workflow analytics kicks in.

However, to have the process ready to be digitalized, one must additionally define data flows – data exchanged between steps and participants of the process. This inevitably leads to definition of user interface (UI) requirements for human interaction with the process as well as definition of integration and APIs to be used when the process interacts with other systems.
